Retiring Assets

When an asset is no longer used (recycled or replaced, typically), the asset in PCRT should be retired.
When to retire an asset
An asset should be retired when:
- We recycle (not refurbish) a computer on the customer’s behalf
- This includes disassembling and selling individual parts from the asset.
- The customer decides to recycle the computer on their own (typically, after migrating the data to a new computer)
- Do not assume that the customer will recycle the computer, unless they tell you specifically that they will no longer use the computer.
- The asset is replaced under warranty coverage
- This will most commonly cover Apple devices such as iPhones, iPads, Beats Headphones, Apple Watches, etc. but may also include device manufacturer replacements for other types of devices.
When not to retire an asset
An asset should not be retired if:
- We are refurbishing the computer to resell, or for shop use.
- We are transferring the computer to another owner.
- For example, if Bob gifts or sells PCID 1234 to Susan, then the owner information for PCID 1234 should be changed to Susan’s. Do not create a new asset.
- The customer has migrated data from one computer to another, but plans to use both computers.
Retire an Asset
- Navigate to the Work Order History (PCID) page for the asset.
- If the device is not currently retired, you will see a “Retire Asset” button on the actions menu. Click “Retire Asset”.
- Read the informational message.
- If the asset is being replaced by another asset, enter the PCID of the new asset. Otherwise, leave the textbox blank.
- For example, if PCID 1234 is being replaced by asset 5678, then you would enter “5678” into the textbox.
- If replacing the retired asset, ensure that the new asset has been checked into PCRT so that it will have a PCID.
- Submit
- If successful, you will now see a message indicating the retirement status at the top of the Work Order History (PCID) page and while editing any work order attached to the PCID.
Unretire an Asset
- Navigate to the Work Order History (PCID) page for the asset.
- If the device is currently retired, you will see a “Unretire Asset” button on the actions menu. Click “Unretire Asset”.
- Read the informational message.
- Submit
- If successful, you will no longer see a message indicating retirement status at the top of the Work Order History (PCID) page and while editing any work order attached to the PCID.
Add an asset replacement to an already-retired asset
If an asset was retired without having a replacement asset indicated, but you now have an asset that you would like to mark as the replacement; simply unretire the asset, and retire it again while specifying the replacement.
